Refund Policy

HARLEM & THYME

Introduction

At Harlem & Thyme, each event, menu, and service booking is planned with care, labor, scheduling, and ingredient purchasing in mind. Because of the custom nature of our services, all payments are subject to the terms below.

1. Deposits

Deposits are non-refundable unless Harlem & Thyme is unable to provide the agreed-upon services.

A deposit is required to secure your event date or service booking. Until a deposit is received and confirmed, your date is not reserved.

2. Final Payments

Final payments made toward confirmed services are generally non-refundable once event preparation, purchasing, staffing, scheduling, or production has begun.

If a client cancels after work has already started, Harlem & Thyme reserves the right to retain amounts paid to cover labor, administrative time, planning, ingredient purchases, rentals, and other non-recoverable costs.

3. Cancellations

If you need to cancel a booking, you must notify Harlem & Thyme in writing as soon as possible.

Refund eligibility, if any, will depend on the timing of the cancellation, the scope of work already completed, ingredients or rentals already purchased, staffing already scheduled, and other costs already incurred.

Because our services are custom and event-based, full refunds are typically not available for canceled bookings.

4. Rescheduling

Requests to reschedule are subject to availability and must be approved by Harlem & Thyme.

If we are able to accommodate a new date, payments already made may be applied to the rescheduled booking at our discretion. Additional fees may apply if the scope, pricing, guest count, rentals, staffing, or market costs change.

If a rescheduled event cannot be accommodated, the booking will be treated as a cancellation and this Refund Policy will apply.

5. Custom Orders and Specialty Purchases

No refunds will be issued for custom menu items, specialty ingredients, special-order products, rentals, staffing commitments, or third-party purchases made specifically for your booking once those costs have been incurred.

6. Client Changes

If a client requests changes after a proposal, invoice, or agreement has been approved, additional charges may apply.

Significant changes to guest count, menu selections, service style, event timing, location, dietary accommodations, rentals, or staffing may affect pricing and refund eligibility.

7. Non-Refundable Circumstances

Refunds will not be issued for dissatisfaction based on personal taste preferences, guest no-shows, reduced attendance, changes made by the client after confirmation, delays caused by the client or venue, weather conditions outside of our control, or circumstances caused by third-party vendors or venues.

8. If Harlem & Thyme Must Cancel

If Harlem & Thyme is unable to provide the contracted services due to circumstances within our control, we will issue a refund of amounts paid for services not provided, or, where appropriate, offer to reschedule the booking.

If the interruption is caused by circumstances beyond our reasonable control, including but not limited to severe weather, emergencies, venue issues, government restrictions, transportation disruptions, illness, or other force majeure events, we will work in good faith to reschedule whenever possible. Refunds in those situations will be handled at our discretion, taking into account costs already incurred.

9. Digital Products or Downloadable Materials

If Harlem & Thyme offers any digital products, downloadable materials, guides, or similar items through this website, those purchases are non-refundable unless otherwise stated at the point of sale.

10. Chargebacks

Clients agree to contact Harlem & Thyme first to attempt to resolve any payment issue before initiating a chargeback or payment dispute.

Unauthorized or bad-faith chargebacks may be contested with supporting documentation, including invoices, communications, contracts, proof of work, and proof of purchases made in connection with the booking.
